Area Chairman's Newsletter
September Edition

Introduction
Many Tables hold their larger public events during the July/August school holiday period and some do not have conventional meetings during this busy period. This edition of our newsletter is intended to review the summer events organised that I have attended and to provide information about the forthcoming National, Area and Table functions.

Unfortunately, I can only provide information about the events I am told about. If your activity is missing, please forward the details so they can be included in the next edition. The DAFT Magazine is a free service provided by Area 43 and there is no charge for adverts promoting Table events.

Due to the high cost of postage and printing, it is not economic to post this magazine to every Tabler. If you receive a printed copy, please take it to your next Table meeting and allow the others to read it. This newsletter is also available on-line - www.DigitalDan.co.uk/Area

Fish Week (Milford Haven RT - 21/06/2008)

Milford Haven Round Table undertakes 3 large public events during the summer season. Although two of these are organised by the Table, Fish Week, as the unusual name suggests, is an exception. This is run by Pembrokeshire County Council and Milford Haven Round Table provides Children's Activities without having to worry about the licences and consents normally associated with public events.

Fish Week is intended to be a celebration of the Fishing Industry's importance to the County. Although this is a week long celebration with activities throughout the County, Milford Haven RT is only involved in the annual opening day celebrations held on Milford dockside. The Council organise a large number of stalls, entertainers, cooking demonstrations and all the logistics. Various groups are then invited to undertake college open days, ship tours, catering, demonstrations and children's activities. This is a free event with easily accessible free parking and very popular with the locals.

The Milford Haven Round Table section usually includes a bouncy castle, the Guides Pancake Stall, a Table recruitment/carnival promotion tent, find-the-treasure maps and a strongman machine. We also have close links with a local butcher, whose burger stall is highly recommended.

Bands at the 7777 (Maesteg RT - 21/06/2008)

The 7777 is the name of the Maesteg Rugby Club. Every year, Maesteg RT erect a marquee on the pitch, set up a small bar and invite quality local bands onto a simple stage. The rest of the marquee is used for seating and a dance area. The idea is very simple but this event requires a lot of preparation including repairing and erecting the marquee, staffing the bar and waterproofing the sound system. This year's bands suffered due to severe weather conditions but still proved popular with the disco age-group.

Area Rally
This years event will be held at the Village Hotel in Swansea on 15th November 2008. Full details, booking form and draw-results on the website
Milford Haven Carnival is organised by the town's Round Table. It follows a 1.5 mile route and ends up in the enclosed field that forms the local football club. About 4 years ago, the carnival was struggling to attract floats and at one stage the future of the event was in doubt. Milford Haven put a number of measures in place to encourage participation, including a float entrants' subsidy and also shortening the route to assist walking entrants. The acts on the carnival field included a mixture of local talent and professional field acts. In recent years these have included stunt car drivers, motorbike daredevils, BMX Bike demonstrations and a Wild West show.

Milford Haven Round Table had planned a parachute display team and strong-man act for this year's event but torrential rain caused severe disruption. Despite the appalling weather, an impressive 13 floats completed the route but spectator numbers were well below usual levels. On arrival at the field, the rain soaked ground was too soft to support the strong-man's equipment, poor visibility prevented the parachute jump and a local tractor had to assist the stall holders to remove their cars from the field. The carnival participants were soaked and cold. For safety reasons, the procession prize winners were announced and all field activities were cancelled. This was the first time that the weather has forced the closure of a Milford Haven Carnival.

Neath Bands Nights and Neath Carnival
Neath Round Table undertake three of the largest public events organised within Area 43. They also have that added complication that all 3 events take place over a single weekend.

Friday Bands Night (Neath RT - 11/07/2008)
The main band at this event was T-Rex - instead of the usual tribute group, Neath had booked the genuine article complete with an impressive supporting cast. Although they called it a Bands Night, I felt that a more accurate description would be a fully fledged pop concert. They had spent the Thursday erecting miles of security fencing and preparing the arena. Apart from the two professional stages, they also managed a fully stocked public bar, VIP tent, catering, fairground, side stalls and a private security company. This was an amazing event with thousands of spectators from all age groups. I would recommend this event to any member who would like to see how a small dedicated team of Tablers can professionally organise a major festival.

Neath carnival (Neath RT - 12/07/2008)
The morning after the T-Rex Concert, Neath RT were back on the field as everything was being rearranged for the Town's Carnival. Due to problems on the local road network, Neath cannot have traditional lorry floats. They overcame this difficulty with a procession of tractors and classic vehicles. The field activities and stalls resembled a very large version of the typical Area 43 Carnival Field. The Bands Night stages provided a platform for local groups including an excellent school choir. There were various field activities including stilt-walkers and an attempt on the world-record for assembling a tractor from its component parts.

Saturday Bands Night (Neath RT - 12/07/2008)
As soon as the Carnival was over, Neath began work clearing the field and converting it back to a festival arena. Everything was restored to how it was on Friday Night and the stages were set for The Who and accompanying support groups. At the end of this concert, the sky was lit up with an incredible fireworks display.
Chairmen's Lunch (Area 43/46 - 13/07/2008)

The Chairmen of Area 43 Round Table and Area 46 Ladies Circle invited a representative of every Round Table and Ladies Circle to lunch at the Ivy Bush Hotel in Carmarthen. This very informal event was well attended and the food was great. During the meal, the details of the Area Rally were announced. It will be held at the Village Hotel in Swansea on 15th November 2008. This year's theme is holiday destinations and the full details, including booking form, fancy-dress draw and breakfast arrangements can be found on the Area 43 website - www.DigitalDan.co.uk/Area

Haverfordwest Carnival (Haverfordwest RT - 19/07/2008)

The annual Haverfordwest RT carnival starts with a procession of floats and finishes at Picton Field. On the field, you will usually find a curtain-lorry stage featuring local talent, carnival stalls, fairground and various field entertainments. Unlike last year, the weather held off this year. The procession had a mixture of lorry and walking entries, with local acts performing on the lorry stage. This year's event featured a team Tug-of-War contest, which proved very popular. Haverfordwest Round Table have requested that I do not reveal their final position in this contest. Haverfordwest is a friendly carnival, it is less formal than many of the larger events and benefits from a community spirit.

Tenby Beach Parties (Tenby RT - 20/07/08 & 03/08/08)

Area Ball
The Area Ball will be held at the Stradey Park Hotel in Llanelli on Saturday 24th January 2008.
Tenby is a popular holiday resort and the Beach Parties welcome many visitors to the town. As this event is not totally dependent on the town's residents, the Tablers are able to run it twice during every year. The two beach parties are held a fortnight apart, but are virtually identical apart from attracting a different set of holidaymakers.

Tenby RT used to call this entertainment the Tenby Spectacular but this year, they were concerned that reduced Table membership would force them to reduce the scale of the event. They renamed the Spectacular to indicate that some of the traditional attractions may not take place.

The Tenby Beach Party was held on the harbour side at North Beach in Tenby. The main attraction was a large entertainment stage constructed inside an open marquee. The event costs were covered by a £1 entry fee. The parties started at about 3pm with children's entertainers and as the evening progressed the acts and bands evolved to suit progressively older audiences.

The Round Table and their supporters run a beer tent and burger bar, while the Ladies Circle sell top quality Welsh Cakes and sweets. They also allow local charities to set up stalls and arrange for professional catering in the form of a Pig Roast. The parties reached a climax at about 10pm which involved large firework displays. Despite their concerns about scaling back for this year, the event was just as big as ever, they only lost a few minor side acts which did not affect either of these excellent shows.

Fishguard Carnival (Fishguard RT - 23/08/2008)

Casino Night
The Area 43 Casino Night will be held at Neath Cricket Club on Friday 10th October 2008.
Fishguard RT organise the Fishguard and Goodwick Carnival which is traditionally held on the Saturday of the August Bank Holiday weekend. The need to include both towns creates a very long carnival route which could test the endurance of a marathon runner. Not surprisingly, most of the entries use vehicles and the band plays from the back of a lorry for most of the route.

This Carnival serves a rural area and is well supported by the community. Most of the participants use farm trailers and tractors as the base of the floats and the Tablers add colour to the event by wearing fancy dress when collecting.

During this year's carnival, one of the entrants surprised the Tablers when a team of pullers attached ropes to their lorry and pulled it along the route by hand. Pulling an articulated lorry unit up a gradient amazed the crowd and helped to raise awareness of a local charity. The crowd cheered when they completed the section, creating a fun and informal atmosphere.

The Carnival Field seemed to retain the atmosphere of a village fete with the main stage being built on an open trailer. There was plenty going on and the event climaxed with an unscheduled surprise tractor pull.

Aberaeron Carnival (Town Traders - 23/08/2008)

Although Aberaeron Carnival is organised by the Town Traders, this does not diminish the enthusiasm of Aberaeron Round Table who enter a float every year. This year's entry was called 'A British Summer!' It was a comedy entry based on the high rainfall during July and August. In order to ensure that the sunshine did not spoil their fun, the float had it's own artificial rainfall produced by an on-board sprinkler system. The float was an excellent example of how Tabling can be fun and previous entries have encouraged prospective members to come forward. It was obvious that Aberaeron RT enjoy participating in the carnival and they were awarded a special prize for the funniest float.

NSW 2009
NSW 2009 will be at the Univ. of Essex, Colchester on 4-6 Sept 2009. See www.NSW2009.co.uk
I was one of the five Tablers from Area 43 who were lucky enough to attend this years National Sporting Weekend. This years event took place at Nottingham University from 12th to 14th September 2008. As the name suggests, the event is organised a bit like a miniature Olympics, with each Area competing to win points. Unlike the Olympics, most Areas do not take the event to seriously, provided you can field enough Tablers to make a team, you can enter any event.

On Friday Night, there was entertainment laid on by National on the Campus, but Area 43 took advantage of the free Round Table bus service to visit certain locations in the Night-life district. We returned on Saturday Morning - it was an excellent night-out

When we eventually surfaced on Saturday, a mini-Olympics was on offer. We could enter as many sports as we liked and formed an alliance with our neighbours in Area 4 in order to field teams for indoor-cricket, volley ball and the grand final - a tug of war.

Although I am not normally the sporty type, I had a fantastic time. The climax of the event was a formal dinner, included in the package and this helped to strengthen our links with Area 4. It is quite an experience when you meet over 750 Tablers in one place. The competitions could be taken seriously but most teams just wanted to have fun. I would recommend the event to any non-sporty Tablers like myself, the only thing that puzzles me, is why those of you who enjoy sport have not already booked for next year.

Fri 10/10/08 Area 43 Casino Night
Those of you who went to the Neath Casino Night last year will remember what a great night out this was. Tablers were given an allocation of gambling chips (to make it impossible to lose a fortune) and given the opportunity to win big prizes at professional casino tables. As part of the package, we were also treated to an excellent curry dinner.

Your Exec realised that the Casino Night would be far more fun than a traditional Area Council Meeting and managed to persuade Neath Round Table to expand this event into a new Area Social.

The Casino Night will only cost £15, and the price includes gambling-chips, use of all the Tables and a full meal. The excellent prizes on offer are expected to include hospitality rugby tickets and a DVD centre. This should be an incredible social event, ideal for introducing prospective members to Round Table.

The Area Casino Night will replace the 2nd Area Council Meeting. You are welcome to talk to the Exec at the gambling tables but feel free to contact me at any time. The Data Protection Act prevents me from putting Exec phone numbers on the site but you can contact any of us via or

Joint Area 43/46 Rally
The Area Rally topic for this year is Holiday Destinations and I have brought back traditional favourites including the ditty and cocktails. There are full details, including the fancy dress themes, booking forms and hotel details on the website. We have booked the luxury Village Hotel in Swansea for the main function. Every Table/Circle was allocated a holiday destination by raffle and you are invited to come up with a fancy dress theme relating to this location. There will be prizes for the best/funniest costumes. Being a joint event, partners/guests are welcome, together with past Tablers and prospective members. The Saturday evening meal, fancy-dress and entertainment package costs £29.95. Accommodation prices at the Village Hotel vary according to demand (currently from £65 twin room or from £75 twin room with breakfast.) We have organised a late breakfast (11:00-11:30) on Sunday morning, available to any Ralliers who stay overnight at the normal B&B rates.
Sat 22/11/08 Aberaeron Round Table 35th Charter
Fri 28/11/08 Llanelli Winter Carnival
Llanelli Round Table has lost several members due to the age rule and has asked for our help to marshal their main annual event, Llanelli Winter Carnival. They are hoping for sufficient Tablers to attend to allow the event to take place and if possible, a few people to hand-out Round Table recruitment leaflets during the procession. Llanelli Round Table needs our help in order to survive but I am sure that you will not let them down.
Sat 24/01/09 Area 43/46 Ball
The Area Ball is a joint event with our Ladies Circle, hence partners and guests are welcome. It is a black-tie dinner and the ladies like to dress in their finest. This year's event will take place at the Stradey Park Hotel in Llanelli and we will publish the full details after the Area Rally.
Fri 27/02/09 Area Council Meeting
This will be the last scheduled Area 43 meeting before the AGM/Handover. It will be a very important meeting because major reforms to the structure of Area 43 have been suggested. Once we approach the AGM, it will be too late to put any constitutional changes on the agenda, hence, possible reforms need to be discussed at this meeting. This could be a heated meeting and it may result in a request for National to change the borders of Area 43! I have not set the venue for the final Area Council Meeting because I would like to offer your Table the chance to host it.
Sat 28/03/09 Maesteg Round Table Charter
Sat 18/04/09 Area 43 AGM and Handover
Traditionally, this event is hosted by the incoming Chairman's Table. At the moment, Area 43 does not have a Vice-Chairman. Under the Age Rule, I cannot officially continue to be Chairman after the National Conference. If anyone is interested in the post, please contact me for an honest and off-the-record chat. You do not have to be an existing Exec Member and we are ready to develop a support package to ensure that you have an affordable and successful year. If no-one comes forward, I will soon be asking Tablers for advice regarding the future of Area and whether to replace the Handover with an Area 43 Charter Dinner. Remember, in the absence of anyone else, you are guaranteed to be the best person for the job.

National Sporting Weekend
The 2009 National Sporting Weekend will be held in the historic Roman city of Colchester. As in previous years the cost will be kept to a minimum by using University Campus accommodation and facilities. The venue will be University of Essex-Colchester Campus and the weekend is already being referred to as the Gladiator Games. See www.NSW2009.co.uk for further details.

The Area Year
In recent years, the Age Rule has resulted in many experienced Tablers having to retire. Whilst visiting various Tables, I realised that many of the newest members do not know what various Area Events involve. In this section, I will try to explain the traditional format of each of the main events. I have also included additional information, e.g. dress code and partners welcome where appropriate.

Area AGM/Handover
This is actually two different events but you will usually see both events on the same invitation.

The AGM is the most important of annual business meetings because all the big decisions are made, including who will be elected to represent all our Tablers on the Area Exec. (Area Exec is a group of Tablers from various Area 43 Tables who organise all the Area Events and try to ensure all the Tables know what is happening - Any Area 43 Tabler can be elected onto Exec.) The AGM is open and all Area 43 Tablers are invited. Although the Area President and Area Honoraries are invited to speak, all non-Tablers, including past and prospective members are asked to address the meeting. If you want any proposals discussed at the AGM, you are usually required to submit in it writing to the Area Secretary prior to the meeting. These proposals must be signed by TWO Tables i.e. one to propose it and another to second it. (You can use your own Table and get it seconded by your neighbouring Table.) If your Table wishes to discuss a proposed issue at the AGM, a representative of your Table should raise their hand and stand up when invited to speak. (This is necessary to stop everyone calling out at once.) Please speak loudly, and start off by saying your name and which Table you are representing. (This helps the person taking minutes.) Proposals can be passed by a 50% or 66% majority (depending on how it affects the Area Rule Book and the incoming Area Exec are obliged to implement any motions that are passed. Despite the formal nature of this paragraph, you won't go far wrong if you use your sense, wear smart casual dress(e.g. Table T-Shirt) and say who you are if you are invited to speak - Every Table has an equal vote, regardless - it is not permissible for two or more Tablers representing the same Table to vote on any issue.)This is not a suitable event for guests.

The Handover is a black-tie event (i.e. Most Tablers will wear Dinner Jackets and chains of office if appropriate.) It usually starts with a formal dinner (similar to a Table Charter) but the incoming and outgoing chairman will probably make a short speech explaining what they have or will achieve during their year in office. Sometimes additional entertainment is provided in the form of an entertainer or professional speaker. There are a few traditions but thee only trouble the Top Table. One example, would be to test the alcoholic stamina of the Incoming/Outgoing Chairman by inviting them to drink toasts with everyone in the room. A good tip for drivers is to have a soft drink served in a glass that is available should they get caught out by an unexpected toast.

It is traditional to have the Area AGM and Handover at the same venue and on the same date. Many Tablers prefer to be able attend both events in one night.

Area Council Meeting
This is a posh name for the Area equivalent of a Table Business Meeting. They are held 3 times every year and the dates must be just before the corresponding National meetings. Area Council meetings are open to all Tablers including Past and Prospective. Most of the comments relating to the AGM also apply at Council Meetings. In 2008, I reformed the format of Council Meetings to address declining attendance. these meetings have been temporarily replaced by social gatherings.

Area Chairman's Lunch
Some Area Chairman have chosen to invite every Table Chairman out to a simple meal somewhere in Area 43. Sometimes the Area Chairman will cover all meal costs but partners/guests are normally expected to pay for their food at cost price. If a Chairman's lunch is held, it is likely to include all the Ladies Circle Chairmen and Exec Members from both clubs. It is tradition for the chairmen to announce the theme for the next Area Rally at this lunch and to hold a raffle draw to decide which Tables are allocated various topics for the Fancy Dress element of the Area Rally.

Area Rally
This is usually held in November and is the best Area Event of the year from a fun-lovers perspective. Each Table has been allocated a Fancy Dress topic based on some theme devised by the Area Chairman. The invitation used to go to every Tabler and Every Circler in our Area but the eligibility criteria have been extended to include past members, prospective members, partners, friends and those who support our clubs without joining. After the dinner celebrations complete, the dance hall opens and the fun continues. In previous years, the Rally Package has included overnight accommodation but this element is now optional, for the benefit of those on a restricted budget. This event is suitable for inviting friends and partners who are over 18 years old (alcohol licence requires 18+), provided you tell them about the fancy dress.

Area Ball
A similar event to Area Rally but held near the end of January. Unlike the Area Rally, this is not Fancy Dress. The correct attire is Dinner Jacket and bow-tie for the gentlemen and posh frocks for your female friends.

More Information
You are welcome to contact me for detailed information about any Area, National or International events. I will do my best to answer but may not have first hand knowledge I can usually acquire the appropriate information, even if the event is organised by a non-uk Tabling body.
